Mietfolio guides you step-by-step through the annual utility billing process. You can create billing periods, record expense items flexibly, and enter meter readings and allocation keys precisely. Even legal requirements like splitting CO2 costs between landlord and tenant are directly integrated.

To make things easier, Mietfolio offers an intelligent AI import for bills and receipts. The system automatically detects expense types and amounts, saving them as drafts for your review. After checking, you can export the statement as a clear PDF including a transparent year-over-year comparison.

Tenant portal and contextual communication

Invite your tenants to the integrated tenant portal. Through their personal access, tenants can update their profile data, view documents like lease agreements, and upload their own receipts. Any changes to their profile are submitted to you for review.

Communication remains traceable: Portal conversations, documented calls, emails, and internal notes are saved directly within the respective lease. You never have to search for agreements or messages across different channels again.

Deadlines, tasks, and smoke detectors in view

Stay on top of upcoming tasks and important deadlines for your properties. Mietfolio automatically alerts you when a heating maintenance is due, a lease is ending, or a utility bill is draft-ready. This helps you act proactively before issues arise.

The legal smoke detector obligation is also fully covered. Manage your inventory of detectors with location info and photos. Tenants can log the annual check directly in the portal, from which Mietfolio generates a legally compliant PDF inspection report.

Strict data separation and export control

Your data belongs to you. Mietfolio is built on a robust security architecture where all property and tenant data is strictly separated. Thanks to Row Level Security on the PostgreSQL database, unauthorized access is technically impossible.

At the same time, you enjoy maximum flexibility: all uploaded documents for a property can be exported collectively as a ZIP archive at any time. There is no lock-in – you always keep full control over your files and backups.
